Quickstart

This guide walks you through setting up Proofwork for your team.

Sign up at app.proofwork.today. You’ll need:

  • Your name and email
  • A phone number for SMS verification

From the Settings page, add workers by phone number. Each worker gets:

  • A unique PIN for login
  • Role-based access (worker, supervisor, owner)

Before you create any things, tell Proofwork what kinds of thing your account tracks. Open Things → Manage Types (/things/types) and add a thing type for each kind — Gate, Lawn Mower, Cement, Site. For every type, choose how it is tracked:

  • Quantity — stuff you measure (cement, diesel). Give the type a unit.
  • State — one object with a condition (that gate). List the valid states, e.g. open, closed.

Types are the vocabulary your things, requirements and automation rules all draw on.

Things are the individual sites, equipment, vehicles and stock items you track. Create them from the Things page. Every thing belongs to one of your thing types, which fixes how it is tracked.

Each thing gets a unique code identifier and a QR code for scanning in the field.

Requirements define what must be captured for each type of work. For example:

  • “Photo of completed installation”
  • “Customer signature”
  • “Serial number of equipment used”

Assign requirements to things to enforce them on every job.

Workflows connect workers to things with requirements. When you create a workflow, the worker receives it on their phone.

Workers open Proofwork, scan the site QR code, and complete the requirements:

  • Take photos (auto-geotagged)
  • Fill checklists
  • Log inventory used
  • Add notes

Every capture becomes an event — permanent and verifiable.
